Program Description:

HKUST undergraduate student who is going to participate in a self-arranged study program at another institution where studies are not organized by HKUST must request an approval from HKUST by completing the form “Application for Pre-Approval at Other Institutions (for Undergraduate students)” and submitting a Registration of Pre-approved Self-arranged Study here.


Procedures of submitting Registration of Pre-approved Self-arranged Study
Please see steps below: 

  1. Obtain the form “Application for Pre-Approval at Other Institutions (for Undergraduate students)" HERE. Complete the form and obtain signatures from BOTH your Major Department/Program Office AND your School.

  2. Submit a Registration of Pre-approved Self-arranged Study at MyStudyAbroad System by clicking "Apply Now" button on top of the page in accordance with your study term(s) by the deadline stated below. If your study program spans across two terms, for example, Fall and Spring, you should include both trems under “Study Plan” section. Major Department/Program Office and School could request students to provide additional information if deemed necessary for reviewing the application.

  3. It will usually take up at least two weeks for OGL to review your registration after you have submitted the registration. After reviewing your application, we will contact you via your HKUST email address to follow up. Please check your HKUST email regularly. Upon OGL’s review and approval of the registration, your application status will become “Registration approved” and you will receive a confirmation letter in the system. 

  4. For students whose approved study programs falling on Fall/Spring Term, you are also required to apply for Leave from Study. For the study leave application details, please refer to Academic Registry Office website.

  5. Students are then required to submit documents to prove your commitment to participate in the study program, including study program acceptance letter, the program commitment proof to participate, and proof of your approved study leave (i.e. an email sent from HKUST Academic Registry Office with subject "Application Result for Leave from Study" showing your study leave application has been approved) before your study program begins. Failure to do so will result in revocation of the approval and will render you ineligible for credit transfer. 

  6. Students will only be able to start your credit transfer application via Academic Registry Office's Credit Transfer Application System upon your confirmation of study program commitment to participate and submission of requested documents listed above. Please contact Academic Registry Office for any enquiries related to credit transfer application. 

  7. Students should submit a new pre-approval request to your Major Department/Program Office AND School if there are any changes on the program details.

  8. Students are also required to submit a proof of program completion after you have completed the program. Example: an official transcript issued by the host university.
